• your wedding or event date, venue and any other details you share when enquiring or booking
• the content of messages you send us through the website contact form, by email or by phone
• payment and transaction details needed to process your booking
• photographs taken during your wedding or session, which may include images of you and your guests
• basic technical information about how you use our website, collected through analytics (see Cookies and analytics below)

How we use your information

We use your information to respond to enquiries, provide a quote, manage your booking and deliver the photography service you have engaged us for. This includes contacting you about your booking, preparing and delivering your images, and keeping records for accounting and tax purposes.

We rely on the following lawful bases under UK data protection law:

• Contract: to arrange and fulfil your booking.
• Legal obligation: to keep financial records as required by law.
• Legitimate interests: to run and promote our business, including displaying photographs as described below, in a way that does not override your rights.
• Consent: where we ask for it, for example to feature identifiable images of you in marketing. You can withdraw consent at any time.

Your photographs

As a wedding and portrait photographer, the images we create are a central part of our service and may show you, your family and your guests. We may use a selection of these images to promote the business, for example on our website, social media, sample albums and in advertising, as set out in our Terms and Conditions. If you would prefer your images not to be used publicly, you can tell us in writing and we will respect that.

Sharing your information

We do not sell your personal information. We share it only where necessary to deliver our service or meet a legal obligation, including with:

• our website host, which stores the website and any data submitted through it
• an online gallery service, which we use to host and share your final images securely
• Google, which provides the analytics that help us understand how the website is used
• our accountant and HMRC, where required for tax and accounting
• other suppliers, strictly where needed to fulfil your booking

Each of these providers only processes your information on our behalf or as required by law.

Cookies and analytics

Our website uses a small number of cookies. Some are essential and keep the site running and loading quickly. Others are set by Google Analytics, which helps us see how visitors use the site so we can improve it; these collect information in a way that does not directly identify you. You can control or block cookies through your browser settings, though some essential cookies are needed for the site to work.

How long we keep it

We keep your information only for as long as we need it. Enquiry details from bookings that do not go ahead are kept for a limited period and then deleted. For confirmed bookings, we keep your contact and booking details for the duration of our work together and for a reasonable period afterwards. Your online gallery remains available for twelve months, and we keep backup copies of your images for twelve months, in line with our Terms and Conditions. Financial records are kept for six years, as required by UK tax law.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the personal information we hold about you
• ask us to correct information that is wrong or incomplete
• ask us to delete your information, where there is no legal reason for us to keep it
• object to, or ask us to restrict, how we use your information
• withdraw consent where we rely on it

Keeping your information secure

We take reasonable steps to keep your information secure and to protect it against loss, misuse or unauthorised access. Where we use third-party services, we choose providers that offer appropriate protection for your data. Some of these providers, such as Google and our online gallery service, may store or process data outside the UK; where they do, we rely on their commitment to protect your information to a standard consistent with UK data protection law.

We may update this policy from time to time. The latest version will always be published on this page, with the date it was last updated shown at the top.
